How can we help
Guides to the GF Brew app, organised by what you are doing. Can't find the answer? Get in touch.
Getting started
- Getting started: setting up your breweryA setup guide takes you through your site, brewhouse, vessels, recipes, materials and people so you can brew your first batch. It takes about 30 minutes.
- Users and rolesWho may do what in the app, how to add a colleague and how to change their role or remove access. People are managed by the brewery owner.
- QR labels and workstationsHow to print QR labels for tanks and equipment, how to set up a workstation with a label on the door and what operators see after a scan.
- The app on your phone: home screen and notificationsAdd the operator app to your phone's home screen like a normal app. The phone then tells you, for example, when a rest ends, even when locked.
Production
- Recipes, versions and scaling to batch volumeWrite a recipe once. The app scales it to the batch volume, the alpha acid of the hops in stock and your brewhouse efficiency.
- Water chemistryEnter your water analysis and the recipe's target. The app works out the resulting water, suggests salts and an acid dose for alkalinity.
- Brewing plan and vessel occupancyThe calendar shows which tank is taken when, finds the earliest brew day and flags collisions and missing ingredients in time.
- Brew day step by stepOperators tick off the recipe steps on the phone, see the rest countdown, record temperatures and weights, and get an alert when a rest ends.
- Tasks for operatorsThe brewer assigns extra work with a due date and a place. Operators see it on the phone in the morning and tick it off when done.
Cellar
- Entering measurements by phoneScan the QR code on the tank, enter the values and it is saved. Under ten seconds, even without signal in the cellar.
- Tanks and fermentation progressThe overview shows what is in each tank, which day it is on, how far it has attenuated and roughly when it will finish.
- Sanitation and CIPSanitation procedures with intervals, CIP recorded by scanning the tank's QR code, and a record of every sanitation. Sanitation is planned before filling.
- Yeast: strains, generations and harvestingStrains and slurries in the yeast store. The generation works itself out and the app tells you when a slurry is due for disposal.
- Cooling and cooling profilesThe brewer prepares the temperature curve for fermentation and maturation, the crew confirms each change on the phone and it all goes into the cooling protocol.
Stock and packaging
- Packaging into kegs with the cameraHold keg after keg up to the phone camera and the app recognises size and count. Sixty kegs in two minutes, no notebook.
- Materials, lots and suppliersReceive a lot with its analysis, put a label on the sack and usage is deducted through the batch. The app watches your minimum stock.
- StocktakeStart the stocktake in the office, count on the phone by scanning labels while production goes on. Differences are written only on closing.
- Kegs: circulation, washing and complaintsEvery keg has a QR label and its own history. You know where it is, how often it turns over in a year and which kegs sit too long.
- Batch attachmentsPhotos and documents right on the batch, such as a malt certificate, a shot of the spent grain or a lab report. They belong to the batch production records.
Sales
- Customers and the price listAdd customers with their delivery places and a price list valid from a chosen day. A customer can have a permanent discount.
- OrdersTake an order for a delivery day and see straight away whether the beer is in stock or will finish maturing in the tank.
- Deliveries and delivery notesRounds and the delivery plan in the office, keg scanning and a signed handover on the phone. Delivery notes are created automatically.
- Invoicing and handover to accountingIssue invoices and credit notes from delivery notes and e-mail them. Your accountant gets a file for Pohoda, Money S3 or ABRA Flexi.
Reports
- Brew sheet and cooling protocolA batch's production record builds itself from what is entered on the floor. Nothing to copy out, just print it.
- Costing per lotWhat a lot, a litre of beer and a single keg or bottle cost you. From ingredient prices, tank additions, packaging and a per-batch flat fee.
- Production statisticsLosses between wort and packaging, brewhouse yield, tank utilisation and cycle time over the last 12 months.
- Evening daily summaryOnce a day in the evening an e-mail arrives with what happened, where nothing was recorded and what is coming up.
- Change historyWho changed what in the app and when, with the old and new value. Only the brewery owner can see it.
Technology integration
Troubleshooting
- An entry made without signal has not been sent yetWhat to do when the app header shows entries waiting on the phone. Nothing is lost; they send themselves once there is a signal.
- Notifications are not arrivingThe most common reasons the phone does not announce, for example, the end of a rest, and how to check with a test notification.
- The app reports an unusual readingWhy the app asks whether a value is really right, when it refuses an entry, and how to correct a number you entered wrongly.
