Invoicing and handover to accounting

Issue invoices and credit notes from delivery notes and e-mail them. Your accountant gets a file for Pohoda, Money S3 or ABRA Flexi.

You issue invoices right in the app from delivered delivery notes. The app does not do accounting; your accountant gets a file for their program.

Before the first invoice

The owner sets up in Settings:

  • under Invoicing, Bank accounts and the Invoice payment term,
  • the switch We issue invoices in the app. This turns off the delivery note export, so nothing is invoiced twice,
  • under Brewery, the company ID, registered address and the brewery e-mail. Without the company ID and address an invoice can't be closed.

Issuing an invoice

  1. Open Invoices and the To invoice tab with delivery notes not yet invoiced.
  2. Tick the notes and click Invoice. A draft is created. For a customer with a monthly summary invoice, the notes from one month are merged into one.
  3. In the draft, check the payment, account, due date and note.
  4. Click Close invoice. The invoice gets a number and the PDF goes to the archive.

A closed invoice can only be corrected by a credit note. If a delivery note has an item without a price, the invoice can't be closed. An invoice with a bank account has a QR code for payment from a banking app.

Payments

Record payments by hand from the bank statement with Record payment, or several at once with Mark as paid. The Unpaid, Unpaid cash and Overdue tabs show what is outstanding.

Credit note

  1. On the invoice detail, click Credit note.
  2. Choose how many pieces of what are returned, or enter an additional discount amount.
  3. Fill in the Reason for correction. It is required on the document.
  4. Click Issue credit note.

A credit note does not return keg deposits; returning the keg does that.

Sending by e-mail

On an invoice or credit note, click Send by e-mail. The address comes from the customer card and can be changed. The archived PDF is attached and the customer's reply goes to the brewery e-mail.

Handover to the accountant

  1. Open Deliveries, the Delivery notes tab and the Export for the accountant section.
  2. Choose the Accounting program: Pohoda, Money S3 or ABRA Flexi.
  3. Download Invoices and credit notes for the chosen month and send the file to your accountant.

The file only contains documents not sent yet; to resend, tick Export again documents that were already sent. Try the first import together with your accountant.

If your accountant invoices in their own program, leave the switch off and download Delivery notes for the month instead.
