Deliveries and delivery notes
Rounds and the delivery plan in the office, keg scanning and a signed handover on the phone. Delivery notes are created automatically.
Deliveries are planned in the office and driven with the phone. The delivery note is created automatically when the driver confirms delivery.
Rounds
Open Deliveries in the menu and go to the Rounds tab. With Add round you set when the van goes:
- Repeats Weekly on chosen days, or Monthly, say the first Tuesday of the month,
- Exceptions: No delivery for a holiday, Extra delivery for a move because of a public holiday.
On a public holiday the round only warns you. Delivery places are assigned to rounds on the customer card.
Delivery plan
The Delivery plan tab shows the week by day: which rounds run, what goes out and how much room it takes in the van. Set the van capacity in the Van tab, say one 50 l keg = 1 space. If the load won't fit, the plan warns you.
A received order can be moved to another day with Move. Prices stay as they were.
Loading on the phone
In the operator app, open Delivery and choose Today or Tomorrow.
- Under To load, tap an order.
- Scan its kegs. You can also type the code.
- Enter the number of bottles and cans.
- Tap Loaded.
The app rejects a keg with a different beer or size, an empty keg and a keg that is already out. Without signal, the scan is checked once the signal is back.
At the stop
The driver can reorder the stops or use Smart order.
- Open the stop. You see what is on board, the delivery window and the note for the driver.
- Enter whatever the pub didn't take in Refused (units).
- Scan empty kegs with Scan empty kegs.
- Fill in Received by and get a signature. If nobody is there, choose Nobody here — no signature and note where the goods were left.
- Tap Delivered.
If the pub takes nothing, choose Refused everything. The goods go back to stock and the order moves to the next round day.
Delivery notes
You find them in the Delivery notes tab, by month. A note shows what the customer received, lots, keg numbers, the signature and the keg balance after the delivery. Notes can be printed.
Invoices are then made from the delivery notes, see Invoicing and handover to accounting.
